If you are essentially a club of one - no competition and no existing rep - a person would only need to enter their name into the club rep field in their club page. In this context and at this point, declaring yourself club rep is reasonable.
For the purposes of participating in this election, which presumably is the context of your question, the entry happened after the deadline.
I found out about the elections yesterday as well as found out that our club did not have "rep" until yesterday (which seems odd that I wasn't considered the default rep seeing as how I set up the club). I was only trying to help out with the voting by adding myself as the rep. We don't have a strong polo following in the winter so I don't check these forums very often.
Was there not enough time to add yourself as a club rep?..

Hey Cory, I just think that there is a larger thing happening here than just this website and that people shouldn't be penalized for not knowing about what's going on (i.e. for not being on leagueofbikepolo.com ever spare waking moment). That's our job as a polo community to spread the word. I got nervous when I saw that Victoria, one of the best tournament hosts EVER, didn't have any discussion going on regarding reps. So I emailed them and sparked a discussion and PRESTO! they have appointed a club rep. It doesn't mean they aren't passionate about bike polo...
Its the first year, there are growing pains and lessons to be learned. I say let's be a little lenient until we figure out how this will all roll out.
yes I totally agree with you too Lisa .. I have a huge heart and I don't think anyone should be excluded in something so monumental as this and, I also realize not everyone is a nerd and comes to this site as often as others .. but,..... where do you draw the line?.. the previous post is something that is a "gut feeling"..

the rules of procedure were set in place by people who have spent countless hours of time and effort and now someone wants to bend the rules?? ..
as I said .. to me it makes no difference what happens .. let all the clubs who didn't know about this get a rep in there ... but does this undermine the hard work of those mentioned above?.. those are the ones who will still be here doing the same polo things in polo places 10 years from now ..

i agree with miss used on this point. people are getting back to work and playing catchup, starting a new school semester, or still dealing with holiday guests (or they themselves aren't back in town yet), so i thought the 10th deadline was a bit of a rush. but hey, i'm not a rep, so i don't have much of a say-so in the matter. :)

This is very similar to a discussion I just had with Joey out in Cali. Arguably, one of the most important jobs of any regional rep in the coming year will be reaching out to existing clubs that aren't yet involved and welcoming new clubs that appear in their region. Not everyone is on this forum the way we are. Reaching out to them is crucial to growing and making this community even stronger.
That said, tolerance of growing pains should apply to both sides. We have been doing our very best to reach out and get people involved. Some of the younger clubs have seen the activity, read the posts and taken the initiative to find out what they need to do. Some arrived just a bit late.
Point is, there are no penalties being given here. We want everyone to be involved, no question. But a deadline is a deadline. No judgment, no exclusion. It is what it is at this stage.
And let's keep in mind - this is just the beginning. We've got a long, exciting road ahead. There will be ample opportunity to get involved.
I actually disagree with you on this point Lisa. While I too want all of the clubs in Cascadia to be able to have the vote I do see Ben and Kev's point in having a deadline. This deadline was announced weeks in advance and was done to lesson the hassle of these folks who have already done so much in setting up this interim body. Perhaps the Cascadia reps should have been responsible for letting clubs know about this deadline. I don't know. I guess I am sympathetic to the clubs who didn't elect their reps in time but, at the same time, I do see the need to be efficient and set firm deadlines. I am actually surprised about Victoria too (and I emailed Nick as well about this and he put his name down - dude's been BUSY)! People do have lives other than bike polo and that is to be anticipated and respected. However, with all of the notice and hype about this organizing body, I think that any city who was really interested in pursuing representation probably would have been on it. Is that mean? It was only meant to be rational. Besides, I love Nick so much I have contemplated telling both Kev and Ben that I would threaten to actually show up at one of their city's tourneys if they didn't give Nick and Fred and Jawn and ... the vote. Ha! They don't want that!

I missed the deadline, no worries though. I still have to rely on a neighbouring city to get a polo fix, Nanaimo, Victoria, East Van - thx, so whatever you all decide is fine. I trust Cascadia to have awesome polo at the heart of every discussion.

Listen everyone, Schultz and i are doing a ton of extra work to make this process as transparent and participatory as possible. Note that everyone can see the ballots but only those who are on the electoral list in each region can vote.
The responsiblity to beat the bushes to get club reps out was on the interim regional reps, they had a month (minus the holidays) to do so, and for the most part they did a damn good job.
Making individual exceptions at this point is not only sketchy and a slippery slope but also a bunch of added work. We spent most of Sunday evening setting up the ballots yesterday and making phone calls, and tonight i'm more worried about the Milwaukee 8 or whatever we're calling them.
Next year WILL be smoother, there will be a bunch more people doing the heavy lifting, and the process will be more straightforward cause we'll already have been through it once.

Where are the discussions going to take place between regional representatives in regards to government decisions? Are these talks going to be seen by everyone? I understand that everyone won't be able to comment, which is obviously the point of electing representatives, but I know I would like to see what is being discussed by the reps. How is that process going to happen? Transparency is hugely important to me in this situation and I want to know how that is going to be maintained outside of locally discussion representatives.

Of huge importance, agreed. Without trying to assume any details of how the new organizing body will achieve the necessary transparency, meeting minutes could easily be publicly posted, on each region's page or on the main page - wherever folks can know to look for it.
Sorry to head off topic. I didn't want to start a new thread to ask that seemed to aggresive. Thank you Ben and Kev for your response.

OK polls are open. No need to vote right away. There are only three people on the ballots in the Northside, Southeast, and Southcentral. But the Midwest, Cascadia, Eastside, and Southwest have some good races going on. No matter what it looks like will be a great group of elected reps.
